Your numbers
The lift is an assumption, not a promise. Harvard Business Review found that companies that tried to reach a web lead within an hour were nearly 7 times as likely to have a real conversation with a decision maker as companies that waited longer. Use your own numbers where you have them.
How the speed-to-lead calculator works
It compares the appointments (or showings) you get today with what you would get if every lead heard back in under 5 minutes. The gap, multiplied by your closing rate and your average GCI or rent, is what slow replies cost you.
Worked example
An agent gets 40 leads a month, books 8% of them and closes 25% of appointments at $9,000 GCI. Replies take 1 to 4 hours. With the example lift of 82%, appointments go from 3.2 to about 5.8 a month. That is close to 8 more closings and about $70,000 in GCI a year. Change the lift to 40% and the answer is about $35,000. The point is not the exact figure: it is that response time sits upstream of every other number in your business.
Where the example curve comes from
The default lift for each reply time is our own illustration, not a published benchmark. It is a smoothed curve that falls as replies get slower, in line with the direction of the research. The best-known study, published in Harvard Business Review in 2011, audited 2,241 US companies. It found that 37% replied to a web lead within an hour, and that firms trying to reach a lead within an hour were nearly 7 times as likely to qualify it as firms that waited longer, and more than 60 times as likely as firms that waited 24 hours or more. Swap in your own conversion data whenever you have it.
How to reply in under 5 minutes without living on your phone
- Send every lead source (Zillow, your website, Facebook, sign calls) into one inbox or CRM.
- Send an automatic first text and email within 60 seconds that asks one simple question.
- Let an assistant handle the first back-and-forth and offer times from your calendar.
- Hand off to a person when the lead is ready or asks something unusual.
- Follow up for at least 14 days if they go quiet.
That is exactly the system Closing Scale builds for agents and for property managers.
Questions people ask
What is speed to lead?
Speed to lead is the time between a new lead reaching you (a form, a portal inquiry, a missed call) and your first real reply. The shorter it is, the more of those leads turn into conversations.
What is a good lead response time in real estate?
Under 5 minutes is the common target, because the lead is still on their phone and still thinking about you. Many teams aim for an automatic reply within 60 seconds and a personal reply within 5 minutes.
How fast should property managers respond to rental inquiries?
As fast as you can, including evenings and weekends, when a large share of rental inquiries arrive. Renters often contact several listings at once, and the first clear reply with a showing time usually gets the tour.
Is the lift in this calculator guaranteed?
No. It is an editable assumption. Start with your own numbers if you track them, and treat the result as a way to size the problem, not a forecast.
Does replying faster mean I need to be on call 24/7?
No. An automatic first reply, a few qualifying questions and a booking link can cover nights and weekends, with a person stepping in during working hours.
